2024.02.09 You will need to have been given permission to add a number and/or turn on the shortcode. If you do not have the required permissions, please be in touch with your account owner.


The Numbers screen shows an overview of all the unique telephone numbers connected with your PastorsLine account. On this screen, you can buy additional numbers (as many as you need) up to the maximum limit allowed on your PastorsLine plan. Each number is billed per month using your credits. e.g. A U.S. number costs 125 credits / month. See all.

You can add additional numbers on your account, verify numbers for outgoing calls, and even set up your church’s landline for texting.


HOW TO FIND THIS PAGE

Step 1

Log in to PastorsLine.

Step 2

Click on your thumbnail image / icon / initials in the bottom, left-hand corner of your screen (gold #2 in image to the left).

Step 3

Click on Numbers (Admin) (turquoise box and #3 in image to the left).

The Numbers page will open. Here is the entire page --- closer look in a minute...


HOW TO WORK WITH THIS PAGE

THE TOP OF THE PAGE

#Turquoise 1: How many numbers do you have?

The example in the image above shows that we have 5 numbers listed in the PastorsLine platform.


#Turquoise 2: Search

If you have many numbers, use the Search function to get to the number you want to work with.


#Turquoise 3: Column selection

Clicking on this icon opens a dropdown menu of detail column options.

As shown in the image to the left, we have chosen 6 of the detail columns. This is reflected in the image below.

However, you can check as many or as few columns as you wish.

The links below will point you to the section in EDIT in which we speak about the column AND show you how to edit the information in it (where possible). There are also some items which do not have columns but are editable.

Date Created: When someone set up this number initially. Generated by the PastorsLine system. Not editable.


Turquoise #4: Add new number (main image above - the one with all the turquoise numbers)

Step 4.1: Click on the Add new number button. The following box will pop up:

Step 4.2: Click on the type of number or function you wish to add. Then click Next.

Step 4.3: Depending on what you have clicked, you will be taken to further screens as per the examples below. Fill in the info needed and PastorsLine will guide you through the remainder of the process.

The additional action available here is "View Released Numbers"

These are numbers which you once used in PastorsLine but are no longer using. These numbers are free to be used by someone else from another PastorsLine account.

If you click on View Released Numbers, the following box will pop up:


EDITING NUMBERS


YOUR ASSIGNED NUMBER

You have 1 assigned number.

Hovering over this number line will reveal the Action Menu (3 dots at the end of the line). Click on the Action Menu to reveal 3 options:

Choose a different assigned/primary number -- see line below

CHOOSE A DIFFERENT ASSIGNED NUMBER

Click on Choose a different Assigned Number.

The Select a new Assigned Number box will pop up.

Toggle on on your new choice. Click on the purple Confirm button to update or X to cancel your action.

EDITING OTHER NUMBERS

Hovering anywhere on the number detail line will turn it grey + reveal an Edit (turquoise box in image above). To work with this number, click on the Edit OR click anywhere on the number detail line.

Remember: for your assigned number however, there is a 3-dot action menu (turquoise arrow in image below). You can choose to edit this number, make a different number your primary number, or release this number (freeing it up for use by a different PastorsLine account). Read this article on releasing numbers.

Click on Edit.

The editing box will open. Following are the items you will see. Depending on the type of number, some of the items will not appear as they are not relevant.

NICKNAME

Below the avatar you will see the nickname of the number (the reminder/"meaningful to you" name you gave this number) and which features/capabilities this number has.(See screenshot in this section.)

NUMBER

The number itself.

USERS ASSIGNED TO THIS NUMBER

All your members who can use this number. NOTE: This item will not appear for all numbers - example: PastorsLine shared numbers.

TYPE

4: Information about the number as per the list below:

STATUS

Whether the number is:

Active (available for use)

Failed (not available for use)

Active, Unverified (Newly added toll-free numbers are limited until verified)

Processing (still in the setup process such as being verified, etc.),

or Action required (there is an issue which required you to do something).

For both Processing and Action required, click on the purple Check Status to check & resolve any issues.

CALL FORWARDING

Pay attention: You cannot toggle on Call Forwarding if you have toggled on Do Not Call.

This is the number to where your calls are forwarded.

NOTE: This item will not appear for all numbers - example: PastorsLine shared numbers.

Step 1: Toggle on this button to forward incoming calls to the number you select.

Step 2: Click on Edit to change the call forwarding number.

Step 3: After selecting your new country code and/or typing in your new number, click on Save to keep your changes.

GREETINGS & VOICEMAIL

These are the greetings your caller can hear when calling.

Toggle them on (as shown in image to the left button is purple) or off (button will be greyed out).

Click on the Action Menu (3 dots) to change your greeting or record a new one [click on Assign New] or delete it altogether.

Sometimes you can click directly on the Assign New.

The Select new voicemail box will pop up. Choose from your Voicemail Library or click on the purple 'click here' to record a new greeting.

MISSED CALLS / VOICEMAILS

Toggle this option on to receive notifications of missed calls and voicemails. If there is not email address, the notifications will come to your mobile.

LAST ACTIVITY

The previous time someone worked with this number. Generated by the PastorsLine system. Not editable.

DO NOT CALL

Pay attention: You cannot toggle on Do Not Call if you have toggled on Call Forwarding.

Shows if you want to receive incoming calls or not.

NOTE: This item will not appear for all numbers - example: PastorsLine shared numbers

Step 1: Toggle on this button if you do not want to receive ANY incoming calls at all.

Step 2: If you toggle it on, you will see two more toggle buttons.

Do Not Call Message: This is the optional message your caller will receive. [Toggle it off if you do not want your caller to receive any message.]

NOTE: This message will be read by ROBO voice, and then the call will be disconnected.

The Action Menu (3 dots) at the end of the name of this toggle button allows you to edit the Do Not Call Message. We explain 'how to' starting in Step 3 just below.

Send as Text as well: If you would like your people to receive your Do Not Call Message as an SMS, toggle this button on.

Step 3: Click on the Action Menu (3 dots, brown box) to change this message.

Step 4: Click on Edit Message. The Edit do not call message box will pop up.

Step 5: Type your new message. Click Save to keep your changes.

AUTO RESPONDER (beta)

Toggle this option on to enable an auto reply to incoming text messages. For example, when it is after hours or you are on vacation.

The auto responder settings work per phone number. This enables each phone number to have unique settings if desired.

NOTE: This option costs the standard 1 credit per 160 characters each time it is sent.

After you toggle on the option, the Auto Responder pop-up will appear. Complete the form and click Save to confirm your choices.

The pop up will differ depending on whether you choose the vacation or after hours option. The image to the left shows the vacation pop up.

How much you are paying for this number. Hover over the ? to get more info.

Included - part of your PastorsLine plan, so no extra cost

Not available - since this is a shared number, the cost is spread among the partners

Yearly credits - The number of credits this number costs you on an annual basis.

DEFAULT SIGNATURE

The signature chosen for texts.

Click on Choose a Different Signature. The following box will pop up (see image below).

1: Click on the downward arrow to open your signature choices.

2: To edit / add / delete a signature, click on Manage Signatures. You will be taken to the My Signatures page.

3: See what your signature will look like at the end of the text message.

4: Click on Select to finalize your choice.

CAPABILITIES

Tells you the communicative abilities/restrictions of this number.
