HOW TO GET TO GROUPS

From the PastorsLine dashboard, click on Groups (group of people icon, gold box below).

LOOKING AT THE COLUMNS

Column 1 is basically the dashboard icons.

COLUMNS 2&3

Columns 2 & 3 show you more detail about the view you chose -- in this case, Groups.

In Column 2 are the categories available within the Groups view. As you can see, we selected All Groups (highlighted in Column 2 in image above) which is the main category, i.e., all the sub-categories put together. At the moment, there are 14 groups in this PastorsLine account.


USING COLUMN 2

THAT BLUE ARROW IN THE IMAGE ABOVE

Notice that the blue arrow is pointing to the Integrations downward arrow. This means that there are more sub-categories within this sub-category.

If we click on the downward arrow, we arrive at several sub-categories. Two of them (CCB & PCO) can be opened further. Mailchimp cannot.

If we click on CCB, for example, we see that we have reached the end of the sub-division.

USING COLUMN 3

THAT GOLD & BROWN ARROW IN THE IMAGE ABOVE

This points to the sort options for the details in this column. It's a little bit complex, so we've given this topic its own article. Read it here.

HOVERING...

Hovering over a group highlights that group and begins to show more information about it.

Hovering closer... (1)

If we hover nearer to the group name, we get an explanation for that number (in this case zero) after the name. We see that it is the number of members in the group. This group has 0 members.

Hovering closer... (2)

If we hover nearer to the symbol after the group, we get two explanations. One is what that the symbol stands for. In this case, it is Church Community Builder (CCB). So, this is a CCB-integrated group. Another explanation is that there is no phone number associated with this group.

1-way INTEGRATION

Some groups will have an additional label. This label tells you that the sync is 1-way:

  • 1-way-in (turquoise box in image below) - note that the arrow points inward from right to left

  • 1-way-out (gold box in image below) - note that the arrow points outward from left to right

Here's how it works.

FROM AN EXTERNAL GROUP TO PASTORSLINE = 1-way-in

If I add a new member to my external group, does it get added to PL? Yes

If I add a new member to PL, does it get added to my external group? NO

FROM PASTORSLINE TO AN EXTERNAL GROUP = 1-way-out

If I add a new member to PL, does it get added to my external group? Yes.

If I add a new member to my external group, does it get added to PL? Not if it is one way PL to external only

TO SEE MORE DETAIL ABOUT A GROUP

Click on the group name. The Group Detail View will open to the right.


ICONS AT THE TOP OF THE COLUMNS

1: Groups Settings

(gear icon, turquoise #1)

Click on this icon to go to the Groups Settings page.

2: Minimize

(lines + arrow icon, turquoise #2)

Click on this icon to hide the second black column.

This gives more space in the third column (currently the white space as we have not chosen a group to work with).

3: New Group

(people+ icon, turquoise #3)

Click on this icon to add a new group. The Add New Group box will pop up. You will have a choice of adding an internal group or a group connected to an integration.

INTERNAL GROUP

Internal Groups are created in PastorsLine. Type in the Group Name. Click Save to complete your action.


INTEGRATION (SYNCED) GROUP

These groups are synced to one of the PastorsLine integrations. The overall process is the same, with small differences based on your integration(s).

BREEZE

Click on Integration.

Click on the Breeze icon.

Click on the downward arrow to select your Breeze Tag or Event.

NOTE: You can only select unlinked tags and events.

Click Save to complete your action.


CCB

Click on Integration.

Click on the CCB icon.

Click on the downward arrow to select your CCB Sync Category.

Depending on your selection, new fields will appear.

Let's look at each option: groups, saved searches, and process queues.

CCB Sync Category = Groups

Click on the downward arrow to select your CCB Campus from the dropdown menu.

Then click on the downward arrow to select your CCB Group from the dropdown menu.

NOTE: Your choice becomes your group name and you cannot edit it.

If you wish to add only new people to your process queue, toggle this button on. It will turn purple. Also, new items will appear.

Click on the downward arrow to select your Process Queue.

If you want to skip people who are already in this workflow (in other words, not have them go through the process again), toggle on the relevant button. It will turn purple.

Click on Save to complete your action.

CCB Sync Category = Saved Searches

Click on the downward arrow to select your CCB Saved Search from the dropdown menu.

NOTE: Your choice becomes your group name and you cannot edit it.

Click on Save to complete your action.

CCB Sync Category = Process Queue

Click on the downward arrow to select your CCB Process Queue from the dropdown menu.

NOTE: Your choice becomes your group name and you cannot edit it.

Usually, the CCB-PL sync is 2-way. If you want only 1-way syncing (PastorsLine to CCB only), toggle this button on. It will turn purple.

Look at the If Recipient Has Already Entered This Queue Then Skip toggle button. If it is toggled on (purple), duplicate recipients will be skipped. Is this what you want? If not, toggle it off. It will become greyed out.

Click on Save to complete your action.


ELVANTO

Click on Integration.

Click on the Elvanto icon.

Click on the downward arrow to select your Elvanto Group from the dropdown menu.

Notice that now a new field is displayed. Click on the downward arrow to select your Mailchimp Group from the dropdown menu.

Click on Save to complete your action.


MAILCHIMP

Click on Integration.

Click on the Elvanto icon.

Click on the downward arrow to select your Mailchimp List from the dropdown menu.

Click on Save to complete your action.


PCO

Click on Integration.

Click on the PCO icon.

Step 1: Click on the downward arrow to open your list menu (turquoise box in image to the left).

Linked lists (chain link icon, gold box in image to the right) have already been used.

Either choose 'No List' or scroll down to your unlinked lists and choose one of those.

NOTE: If you choose an unlinked list, that becomes your group name and you cannot edit it. If you want to create a specific name for your group, you will need to choose the 'No List' option.

Step 2: If you wish to add this group to a workflow, toggle on the Add To Workflow button. It will turn purple.

Click on the downward arrow to select the workflow you wish.

Step 3: If you want to skip people who are already in this workflow (in other words, not have them go through the process again), toggle on the relevant button. It will turn purple.

Click Save at the bottom to confirm your changes.

HERE IS AN EXAMPLE

We created a group with these details.

Let's see if it worked:

1 - Go to Groups (people icon, gold circle in image below)

2 - Click on PCO (gold box in image below)

3 - Go to No List (brown arrow in image below)

4 - Our new group (New Group 2022) is there.

If you select the group and check the Integrations tab (gold circle in image below), you will see that the options earlier selected (brown and gold arrows) are also there.


4: Sort

(decreasing lines icon, turquoise #4)

Click on this icon to sort your groups list in the second black column.

5: Search

(magnifying glass icon, turquoise #5)

Click on this icon to search for a group. You can use the group name, part of the group name, a keyword, or part of a keyword.

We added the keyword "banana" to our Web Widget group. We searched for "ban". The Search function found it. Note that the group keywords appear under the group name (turquoise box + arrow in image above).

Update 2023.02.09: When you search for a group, the results will now include all the keywords associated with that group (gold box in image below).
