V3: How can I create an internal email and text message?

Use the PastorsLine campaigns feature to send an internal msg to a colleague to ping them when someone opts in to a campaign.

Basically, you need to set up a new campaign, specifying two components: an email and a text message.

How to get to the Campaigns Page

Step 1

Log in to PastorsLine.

Step 2

Choose one of the two methods below.

OPTION 1

Click on Campaigns (lighting bolt icon, turquoise box in image below).

OPTION 2

From your Dashboard, in the Add New section (turquoise box in image below), click on Campaign.

How to create the internal email and text message

Step 1

On the Campaigns page, click on Create New Campaign (turquoise arrow in image to the left). Choose Create Automated Messages from the dropdown menu (gold box in image to the left).

Step 2

The Create An Automated Messages Campaign box will pop up. Complete with the campaign name and click Next. The page will refresh.

Step 3

Now you will begin creating your new campaign. Click on Add new (turquoise box in image below).

The New Automated Message box will pop up.

Step 4

Click on the downward arrow for the Message Type dropdown menu (turquoise arrow in image to the left).

From the dropdown menu options, click on Email.

From the dropdown menu options, click on Email (turquoise box + arrow in image to the left). Notice that an additional line (Type) has opened up below the Message Type line.

Click on the downward arrow for the Type dropdown menu (gold box in image to the left). From the dropdown menu options, click on Internal Email (gold arrow in image to the left).

Step 5

Select the timer settings you would like to use.

Step 6

Click on SAVE to move forward or CANCEL to stop the process. The page will refresh and will now show your first step.

Tip: It is recommended to choose step names which are meaningful to you and your staff. You can change a step name at any time by clicking Edit (pencil icon, gold arrow in image above) next to the step name.

The Update Name box will pop up. Rename your step and click Save. The page will refresh.

Step 7

If you wish to update the triggers for this item, click Edit (pencil icon, turquoise arrow in image above).

Step 8

Click on the line of the step you added. A template will open up. Complete the template. In the TO section, click on the dropdown menu to select which internal user is to receive this email (gold box in image below).

Step 9

Note that this template allows you to use merge fields (turquoise box in image above).

Click on the Merge Field(s) you wish to use.

Step 10

Reminder: The left side of this template is for first-timers (contacts who have come into this campaign for the first time). The right side is for those who have opted in again. Toggle the right side to "Off" (gold box in image below) to skip sending an internal alert for people entering the campaign again. If you leave the button toggled "On", your returning opt ins will see the message, so you may wish to change it to something appropriate.

Step 11

Click on Save to keep your changes. Click on Add new to created an additional message like an internal automated text or a scheduled message to the subscriber. Click on Cancel to not take any action.

We chose to click on Add new.

Step 12

The New Automated Message box will pop up. Add a title, making sure to choose ‘SMS/Text’ for Type. Click SAVE.

The page will refresh and will now show your first two steps.

Step 13

Click on the line of the step you added. A template will open up (see image above). As in Step 8 above, complete the template. In the TO section, click on the dropdown menu to select which subscriber is to receive this text message.

NOTE

You can only chose a subscriber who has a phone number. In the image to the left, you would not be able to choose Anne Heath (turquoise box in image to the right).

Step 14

When you are finished added steps to your campaign, click SAVE.


Viewing your results

Step 1: Go to Settings - User Settings - Notifications.

Step 2: Click on Campaign Notifications (turquoise box in image below). Any notifications will display below.

Step 3: Click on Update to refresh the page for the latest results.
